Complaints Process and Procedures


The forum team have set in place a Complaints process to protect both the members and the forum team. The Complaints process provides a formal mechanism for investigation of complaints where circumstances demand.
  1. The forum team can only accept complaints that deal with specific breaches of the forum Standards and Rules (S&R).
  2. Complaints will be handled on a confidential basis. For this reason, complaints will only be accepted as a Private Message (PM) or an email.
    1. Complaints against another member or a Vendor should be addressed to an administrator.
    2. Complaints against an administrator should be addressed to the forum owner.
  3. Complaints must be specific, reasonable, factual and supportable in terms of the forum S&R. Therefore, your complaint must specifically identify the section of S&R that has been breached and the reasons you believe the member or administrator should be sanctioned. You must therefore…
    1. Clearly identify what section of the forum rules has been breached. (If this does not apply, we are unable to investigate your complaint.)
    2. Provide context, by explaining the specific reasons you believe the actions or posts of the member breached the S&R.
    3. Provide facts, not 'generalities'.
    4. Not make accusations you can't back up.
  4. When your complaint has been received and accepted, the team member tasked with investigating will inform you by PM.
  5. That team member will investigate the complaint with a view to completion within 5 working days. We ask that you be patient while we review the circumstances and details and not take matters into your own hands.
  6. You have an obligation to respect the confidentiality of the process both during the investigation and after completion.
  7. Spurious complaints, nuisance complaints, those that are fabrications or obviously the result of personal vendetta or grudge WILL earn warning points. (ZT)
  8. If you do not respect the confidentiality of the process and itâ€s outcomes, warning points WILL be awarded. (ZT)
  9. The decision of the team member investigating your complaint will be reviewed by at least one other member of the forum team. The decision is final and no further discussion will be entered into.
